1. Who we are
Battlemate ("we", "us") operates this website at battlemate.co.uk and the Battlemate application at app.battlemate.co.uk (together, the "Service") — a platform that helps tabletop wargamers find opponents, join groups and discover events near them. We are the data controller for the personal data described in this policy.

2. What we collect
When you use the Service we collect:
- Account data — your username, email address and password. Passwords are stored hashed; we can never read them.
- Profile data — the details you add to your profile, including your location (see section 3), the game systems you play and the armies you own.
- Activity data — the groups you join or create, battles you propose or accept, events you host or RSVP to, and venues you associate with.
- Invitation data — if you invite someone to a group or event by email, we process the email address you provide in order to send that invitation.
- Technical data — IP address, browser type and server logs, used for security and to keep the Service running.
3. Your location
Finding nearby players is what Battlemate is for, so location matters — and we want to be clear about how it works:
- The location you enter on your profile is converted to map coordinates using LocationIQ, a third-party geocoding service. Only the location text you enter is sent to them.
- Your location is used to power distance-based searches — for example, showing you players, groups, venues and events within a radius you choose.
- Your profile has a visibility setting that controls whether other users can find you in searches. You can change it at any time in the app.
- We never track your device's live location. We only use the location you choose to give us.
4. How we use your data
We use your data to:
- provide the Service — matching you with opponents, groups, venues and events (necessary to perform our contract with you);
- send you service emails and in-app notifications, such as battle requests, group invitations and event updates (necessary to perform our contract with you);
- keep the Service secure and prevent abuse (our legitimate interests).
We do not use your data for advertising, we do not profile you, and we never sell it.
5. Who we share it with
We share data only with the service providers we need to run Battlemate:
- LocationIQ — geocoding the locations you enter (section 3).
- Laravel Cloud — hosting the Service and its database.
- Cloudflare — content delivery and protecting the Service from malicious traffic.
Other users of the Service can see the profile information you make visible to them, subject to your visibility setting. Beyond that, we only disclose personal data if the law requires it.
6. Fonts on this website
This marketing website loads fonts from Google Fonts. When your browser requests those fonts, your IP address is disclosed to Google. Google does not set cookies through this, but you can read more in Google's privacy policy.
7. How long we keep it
We keep your data for as long as you hold an account. If you delete your account, your personal data is deleted or anonymised, except where we need to retain limited records to meet a legal obligation. Server logs are kept only as long as needed for security.
8. Your rights
Under UK data protection law (UK GDPR), you have the right to:
- access a copy of the personal data we hold about you;
- correct inaccurate data;
- have your data erased;
- restrict or object to how we process it;
- receive your data in a portable format.
To exercise any of these rights, email contact@battlemate.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
9. Age requirement
The Service is for users aged 16 and over. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has created an account, please contact us and we will remove it.

11. Changes to this policy
If we change this policy, we will update this page and the date at the top. Significant changes will be flagged on the Service or by email.
